Purchasing and Procurement Coordinator

|Description:||Reporting to the Vice President of Programs, the Purchasing and Procurement Coordinator is responsible for designing, managing, and implementing the procurement process; overseeing and ensuring the accuracy of all facilities invoicing and expenditures; monitoring and handling all facility inspections, equipment service requirements, and securing all permits, registrations, etc. This position is also responsible for fleet management including, inspections, registrations, repairs, and maintains the authorized drivers list for the organization. Works collaboratively with other members of the facilities team, and with program and administrative staff. |
|Duties:||Including and not limited to:|
Vet and and review current and potential vendors for all goods and services, including and not limited to exterminators, inspectors, maintenance, fire alarms, elevators, copiers, washer/dryer machines, office machines, service contracts, cell phones, etc.
Track and respond to work orders across the organization; review quality and cost-effectiveness; ensure compliance with requisition process
Maintain automobile fleet in safe condition and ensure all use of vehicles, gas, etc. is in compliance with all applicable policies
Ensure that all internal and external inspections, permits, certificates, and contracts remain valid, current, and in compliance with all agency and regulatory standards, such as our Building, Fire, and Food Certificates, the permits and licenses of our contractors, service agreements, etc.
Review and maintain supply deliveries and inventory; particularly food and janitorial supplies
Manage, provide notification of, and corrections to all violations; maintain required web-based documentation
Maintain itemized documentation of all purchases, by category, cost center, location, or other criteria, as needed
Perform other duties as assigned
|Qualifications:||Bachelor's degree + 3 years or Associate's Degree + 5 years of similar salaried experience|
Demonstrated familiarity with processes and regulations involving procurement, building and auto maintenance, building, familiarity with pertinent licenses and entities
Sufficient computer familiarity to perform functions in MS Office, web-based programs, and other software as needed
Ability to interact with employees at all levels and other internal and external stakeholders, maintaining a professional and supportive approach including during sensitive situations
Generally, nonphysical, but may require some lifting of supplies or equipment up to 50 lbs.
General office environment. Field work will also likely be necessary
